Uploading Prospects

Why is my contact list being rejected when I try to upload it?

For a CSV to be accepted for upload all prospects must have information for all of CallSine’s required fields. The required fields are:

  • First Name

  • Last Name

  • Title

  • Email

  • Company Name

  • Company URL

  • LinkedIn URL (optional but recommended)

I uploaded a list with valid emails—why aren’t all of them getting outreach?

Every new email goes through CallSine’s validation system. If an email comes back invalid, it’s excluded from outreach to protect deliverability.

How many prospects can I upload at once?

There’s no strict limit, but very large files may take longer to process. We recommend uploading up to 1,000 prospects at a time for faster results. If possible, group uploads by the Agent you plan to assign them to—this way you can apply the same tag during import.

Does CallSine prevent duplicate prospects from uploading?

Yes. Duplicates are flagged by email address. If the same person is uploaded with two different email addresses, they will be treated as separate prospects.

Will manually uploaded prospects receive the same outreach as auto-sourced ones?

Yes. Once assigned to an Agent, all prospects follow the same campaign logic and messaging flow.

I am on a Free Trial. Can I manually upload prospects into CallSine?

No. During the Free Trial, you cannot manually upload prospects into CallSine. Trial users are only able to source prospects from CallSine’s contact database via the Agent.

Once your Free Trial ends and you upgrade to a paid plan, you’ll unlock the ability to manually upload prospects (e.g., from CSV files) and assign them to Agents.

Can I use a placeholder for a company URL?

No. The Company URL must be the prospect’s actual company website.

  • If the URL is missing, fake, or a placeholder → the prospect will be skipped and no outreach will be sent.

  • If the URL points to a different company → the Agent will personalize outreach as if the prospect works at that company.

For best results, only upload prospects with accurate company URLs.

Can I add multiple email addresses for a prospect?

No. Each prospect can currently only have one email address in CallSine.

  • If your CSV has multiple email columns → choose the column with the best email before uploading.

  • If a single column contains multiple email addresses → split them into separate columns, then map only the column with the email you want to use.

This ensures the Agent validates and sends outreach to the correct address without confusion or deliverability issues.

I uploaded a list without LinkedIn URLs. Can the Agent find them for me?

Yes. When manually uploaded prospects without LinkedIn URLs are assigned to an Agent, the Agent will automatically search CallSine’s contact database for potential matches.

  • If a match is found and the prospect has a LinkedIn account, the Agent will attach that LinkedIn URL to your uploaded record.

  • If no match exists, the LinkedIn field will remain blank.

Important: The Agent will never “guess” a LinkedIn profile. A URL is only assigned if it exists in the database and can be verified.


Tags & Organization

What kind of tags should I create or apply?

We recommend tagging manual uploads by Agent assignment. For example, all prospects intended for the same Agent should share a tag, making it easy to filter and assign later.

Can I change or remove a tag after upload?

Yes. Tag assignment for any manually uploaded prospect can be changed in bulk using the bulk actions menu on the People Table (hamburger menu in the top-right of the people page). Tag names can also be edited by going to Settings > User Info > Manage Tags.


Assigning & Managing Prospects

Can I manually add prospects to an Agent once the Agent is live?

Yes—but only if the Agent’s source is set to Manual. To assign, select the prospects on the People Page and assign them via the bulk actions menu.

Why aren’t all of the prospects I assigned to my Agent showing up in the People tab?

Your Agent’s daily workflow is the same whether prospects are added manually or sourced automatically—it only pulls in a set number of prospects each day, based on your outreach volume settings.

Before launch, the Agent will only bring in a small sample of your manually added prospects so you can generate example outreach and confirm everything looks good.

If you’d like to double-check where a prospect is assigned, you can either:

  • Filter by Agent on the People Table, or

  • Search for the specific prospect directly in the People Table.

Can I export prospects from my People Table?

Yes. Use the bulk actions menu (hamburger icon in the top-right of the People Page) to export all leads in your current filter view.

Am I able to manually import prospects from LinkedIn Sales Navigator?

Not yet. However, upcoming features will allow Agents to filter and source leads from Sales Navigator automatically.

What happens if I delete a prospect?

Deleted prospects are permanently removed from your People Table and cannot be restored. Deleted prospects will also automatically be removed from any outreach.

Can I reassign prospects to a different Agent?

Not at this time. Once a prospect is assigned to an Agent, it cannot be transferred to another Agent.

However, this functionality is on our roadmap. In the future, you’ll be able to reassign prospects across Agents without needing to re-import or manually adjust records.


Profiles & Materials

When should I go to someone’s Profile?

Visit a Profile when you want a detailed view of a prospect, including their full outreach history. This includes messages sent by Agents and any responses from you or your team.

I deleted a Material. Will it still be used by Agents?

No. Once deleted, a Material is instantly removed from all campaigns. Because Agents run continuously, the change takes effect immediately.

What does it mean if the validation status of my material is 'No'?

When a material’s validation status shows No, it means:

  • The file has been processed by CallSine’s RAG AI.

  • However, it does not contain enough usable detail to support outreach generation.

If you see this status, we recommend:

  1. Deleting the material from your library.

  2. Uploading a more detailed source (such as a full webpage, product sheet, or document) that covers the same information in greater depth.

Providing richer, more complete materials ensures your Agent can generate accurate, brand-aligned messaging.

Can I add links to LinkedIn posts or articles as materials?

Technically, yes—but it’s not recommended.

LinkedIn places restrictions that make it difficult for external systems to reliably access the full content of posts or articles. Because of this, your Agent may not be able to use the information effectively if it is uploaded as a direct LinkedIn link.

Best Practice: Copy the information you want from LinkedIn and upload it as a document (e.g., .pdf, .docx, or plain text). This ensures the content is fully ingested and can be consistently applied in your outreach.
