How to Use the Style Guide to Replicate Your Brand Voice

Learn how to capture your unique brand voice in CallSine’s Style Guide so your Agents generate outreach that feels authentic and on-brand.

Overview

If you have a distinct brand voice you want reflected in your cold outreach, the Style Guide is where to do it. CallSine’s Style Guide keeps your voice consistent while layering in context and personalization for each prospect.

All you need is an example email (or an existing brand guide). This guide will walk you through how to turn that into a reusable Style Guide inside CallSine.


Step 1: Choose a Template That Represents Your Voice

Start with a sample email that captures your brand’s tone. For example:

Hi [First Name],

I’ll bet your calendar is already stacked higher than a Jenga tower. I’ll keep this quick—no topple, I promise.

We’ve become a trusted resource for ambitious teams, with dozens of organizations turning to us to scale faster and smarter. Hopefully that gives you a sense of the trust others have placed in us.

We’re an experienced growth partner that blends strategy with creative execution. That mix has inspired comments like, “This is exactly what we needed!” and “You made it look easy.”

If it feels worthwhile, maybe we start with a quick intro call—I’d love to hear about your priorities and share what’s worked well for others.

Thanks again for your time,

[Your Name]

This email is light, humorous, and distinct. That’s the tone we’ll translate into Style Guide notes.


Step 2: Turn the Template Into a Style Guide

If you already have a style guide, skip ahead. Otherwise, use AI to extract style notes.

In this case, I used ChatGPT and sent it the email above and this context:

"Turn this email into a style guide for an AI to use to write unique emails that are all in the same style. Give me voice and tone notes and formatting guidelines in particular."

This is what it gave me:

Voice & Tone
- Conversational, personable, lightly humorous — opens with a playful twist (e.g., wordplay, small joke).
- Confident but not pushy — presents credibility clearly but without corporate jargon.
- Respectful of time — acknowledges the recipient is busy; asks for a short, specific meeting.
- Relational — references what others have said (“You made it look easy”) to build social proof.

Formatting Guidelines
- Keep paragraphs short (2–3 sentences).
- Use occasional ellipses or em dashes for conversational pacing.
- Sprinkle in humor or wit — but never at the recipient’s expense.
- Avoid overloading with product features; focus on credibility + curiosity + small ask.

Step 3: Add the Style Guide in CallSine

  1. Go to your Outreach Agent (via the Campaign Editor).

  2. Navigate to Settings > Style Guide.

  3. Replace the default Style Guide with your new Voice & Tone and Formatting Guidelines.

  4. Click Save.

Note: You can edit different fields for first-touch emails, follow-ups, or LinkedIn messages, depending on where you want this voice applied.


Step 4: Generate Example Outreach

Head to the People tab, generate example outreach, and review how the Agent applies your Style Guide. Adjust as needed until it feels right.
